Group By Date, then Type Watch Topic

I just downloaded TLP. The first thing I wanted to see was a grouping on the task list - first by date, then by Activity Type. The grouping I got looked like this:

4/28/10
Call
To-Do
4/28/10
Meeting
4/28/10
Meeting
4/28/10
Administrative
4/29/10
Call
To-Do

etc.

It looks like it's breaking out items with times assigned to them, though I do not have time as the 3rd Group By option. What am I doing wrong?

This can be changed easily but let me explain first. The date column in ACT! is actually date and time. And the values bound to that column would be like this:
4/28/10 1:00:00 PM
4/28/10 1:30:00 PM
4/28/10 3:00:00 PM
So when you group this column each of the dates above would be in a separate group since the actual date time value is different for each.

To view all the dates together you can set the grouping option to "Text" rather than "Value"
1. Right-click on the column header and select EDIT COLUMN
2. Using the GROUPING dropdown select TEXT
3. Click OK to close this window, then click the REFRESH icon on the TLP toolbar.


You could also go to the advanced options and set the Default Group Interval to DATE, MONTH, QUARTER or YEAR also
1. Right-click on the column header and select EDIT COLUMN
2. Click on the ADVANCED button
3. Scroll down and select the DefaultGroupInterval row
4. Using the dropdown on the right side select your desired group interval
5. Click OK , then OK again, then click the REFRESH icon on the TLP toolbar.

Thanks so much for the quick response, Jim. That fixed it! I knew it had to be something simple.

I found the PDF manual and have answered most of my other questions so far, but I have one more question:

When I highlight a task row, then right-click on it, and select Schedule->Call (or Meeting), it tries to set up a call with the last record I went to in the Contacts area, rather than the one I right-clicked on. How do I ensure TLP updates the "Schedule With" field before this? The same thing happens if I use the default ACT action item buttons at the top.

This is by design. Creating any activity will always be scheculed with the current contact. The current contact is the last contact you looked up on the contact details view.

OK, thanks Jim - I'll just have to get used to that.

I noticed on your solution above for getting the grouping correct, that when I look at an entire month, the order (ascending) occurs like this:

5/10/2010
5/15/2010
5/28/2010
5/3/2010
5/8/2010

Is there a way to add a leading zero to the single digit dates so they sort above the double digit ones?

Duh, You are correct. Setting the grouping option to text will force the date to be converted to a string then alphebetized. 5/1, 5/2, 5/3.
Try setting th advanced "Default Group Interval" to DATE rather then the grouping option to value.
1. Right-click on the column header and select EDIT COLUMN
2. Click on the ADVANCED button
3. Scroll down and select the DefaultGroupInterval row
4. Using the dropdown on the right side select DATE.
5. Click OK , then OK again, then click the REFRESH icon on the TLP toolbar.

Remember to set the grouping dropdown back to "VALUE"
